Step 1 – Obtaining the DVMAX Practice License Number and Clinic ID

Later on in the installation, you will be prompted for the DVMAX Practice License Number and Clinic ID. You must have this info ready before upgrading.

To obtain the License and Clinic ID:

Step 2 – Back Up Your DVMAX Practice Data

You must have a current back up of your datafile before proceeding with the rest of the upgrade.

Version 7.0 - 7.0.10

Version 6.6 and under

Step 3 – Quit DVMAX Server

Once the Backup has finished, Quit the Server application and log all users out:

Step 4 – Remove the Existing DVMAX Practice Server

If you were running on Version 7.0 - 7.0.10:

Macintosh:

Windows:

Step 5 – Install DVMAX  Server

If installing from download, locate the DVMAX Practice installer.  If you don’t have the DVMAX Installer, the latest version can be obtained from your usersite at http://users.dvmax.com

Macintosh:

Windows:

Installation

To install DVMAX Server:

The Base installation for DVMAX Practice is complete.

Step 6 – Modify Features to Allow DVMAX Access (WINDOWS ONLY!)

Exclude from AntiVirus Software

The DVMAX Server program should be excluded from scanning, access within Antivirus
software.

Typical locations for DVMAX Client are:
C:/Program Files/DVMAXProgramFiles7/DVMAXServerFolder/DVMAX Server.exe
C:/Program Files (x86)/DVMAXProgramFiles7/DVMAXServerFolder/DVMAX Server.exe

Exclude DVMAX from Backup Software

It has been identified that having 3rd Party Backup software backing up an active database can cause integrity issues over time. Please Exclude DVMAX Server program and Datafile from your backup software. You can and should continue to backup the DVMAX backup and images folder.

Your Backup software should be backing up your DVMAX backup files every night to tape or some other external media.

If you are unsure of whether your Third Party Backup Software and/or Antivirus software is configured correctly, please contact your IT person with this information for them to review. 

Turn off User Access Control (Vista & Windows 7 Only)

If you are running Windows Vista or Windows 7, complete this step.  User Access Control (UAC) on Windows Vista can cause a number of issues with DVMAX Practice. Primarily, DVMAX Practice Client will be unable to remember the last server it connected to when UAC is on. This will result in a 10002 error every time DVMAX Practice is re-launched. The best way to handle this is to turn off the UAC security setting altogether.  

To disable UAC:

Configure Windows Data Execution Prevention (DEP)

• From the Windows Start menu, right-click My Computer.
• Select Properties. The System Properties dialog opens.  
• Click the Advanced tab.
• In the Performance section, click Settings.
• Click the Data Execution Prevention tab.  
• Select Turn on DEP for essential Windows programs and services only.
Click Apply, then click OK.

You will be prompted to reboot your system. You MUST re-start the computer for the
changes to take effect
.

Step 7 – Run the DVMAX Updater

Previously, you should have already downloaded and unzipped the latest patch file from the DVMAX user site. If you have not done so yet, proceed to http://users.dvmax.com.

Log in as an Administrative user and Proceed to the Downloads area.

Locate the latest Patch file there – then download and unzip it to the Desktop of your Server computer.

Open the extracted DVMAX Updater folder

Locate and double-click the DVMAX Updater application

The DVMAX Updater program will open

Choose DVMAX Server at the top left. If the Updater cannot find DVMAX, a Select File dialog will open:

Setting the License Number and Clinic ID

You must enter a valid DVMAX Practice License Number and Clinic ID before you can download updates.
To set the License Number and Clinic ID:

Installing an Update

Make certain DVMAX Server is not running before you install an update.



 

Step 8 – Launch DVMAX Practice Server and Upgrade the Data

To launch the DVMAX Server program:

The server application will fully load after a minute. You may see an ‘update progress’ window at the top left corner, indicating the status of the data upgrade.

The upgrade could take minutes to hours, depending on how many updates need to be processed. Data will be fully upgraded and ready for use when the Activity Bar is completely empty. 

Note: While the Server is upgrading the datafile, it is typically a good time to upgrade/install DVMAX on the Client terminals. See Related Document 'How To Install DVMAX Client'

Step 9 - Configure Automatic Backup

Configure Backup Destination

  1. Select Preferences from the DVMAX Server menu.
  2. In the left column of the Preferences window click Backup.
  3. Insure Data is checked. 
  4. Insure Structure is checked. 
  5. Click the button in the Backup File Destination Folder to set the destination for the backup files. 
  6. Choose the DVMaxBackupsFolder which is typically located in
    Macintosh HD:DVMaxDatabaseFiles:DVMaxBackupsFolder on the Macintosh.
  7. In the Log Management area place a check in Use Log File. 
  8. When the window opens click the New button. 
  9. Select the location where the datafile is located. This is typically in
    Macintosh HD:DVMaxDatabaseFiles: DVMaxDatafileFolder on the Macintosh.
  10. You can leave the default name if you wish, click the Save button.

Configure Backup Interval

  1. In the left column of the Preferences window click Scheduler beneath Backup.
  2. Set the desired frequency by selecting how often and at what time the backup should run. It is suggested that a backup run each day at a time when there is little demand on the system such as 2 am.

Configure Backup Logic

  1. In the left column of the Preferences window, click the Backup subcategory within Backup. 
  2. Select the bullet in front of: Abort backup after waiting: 
  3. Change the time to 10 minutes
  4. Select the bullet in front of Retry after:
  5. Change the time to 24 Hours.

Configure Restore Options

  1. In the left column click Restore underneath Backup.
  2. Insure all 3 checkboxes are selected.

Save Configuration & Execute

  1. Click the OK button.
  2. A warning will appear about the log file being activated after the next backup. Click OK.
  3. The backup will run and complete on it's own, using all the preferences you specified going forward.

Step 10 – Log into DVMAX Client for the first time

This assumes a DVMAX Client has been installed on a workstation. Refer to How to Install DVMAX Client on Macintosh for more information.

To log in to DVMAX Client from a workstation:

The first time DVMAX Cient is launched ater installation, you may get an Error #-10002 Database cannot be used. This is expected behavior. Click OK to dismiss the message.

A Duplicating Resources message will appear in the lower portion of the screen and remain for a few moments.

Once complete, the User List will appear.

Step 11 – Create Users and Passwords

In DVMAX Client from any workstation:

In this example, a typical Practice Staff user will be configured. We want to grant access to the following groups, by placing a check in the Member column next to the Group.

You can repeat this process for multiple users that you create. Below are some sample group assignments for different staff levels:

Administrator

By default the Administrator has access to all Groups.
Do not change the access for anything associated with the Administrator!

Manager

The Manager typically has access to the following groups:

Staff

A typical Staff member has access to the following groups:

Inventory Manager

The Inventory Manager typically has access to the following groups:

 

Assign Only as Instructed!

The following groups should never be used.

When finished modifying user & group access, click the red 'X' at the top to close the ToolBox and Close out of General Management.

This concludes the major upgrade/install of your DVMAX Software.
