Generating a List of Top-Spending Clients (DVMAX version 8.8 and higher)

Determining which of your clients have spent the most over the course of the year involves performing a search and printing the results of that search.


Important Note:
Generate a list of top-spending clients before updating the Spent YTD Field. For more information, see the Clear Clients Spent YTD section in the End Of Year Checklist document.


Determine a Spending Threshold

You need to decide on a spending threshold before performing a search for your top-spending clients. Simply put, the spending threshold is the minimum dollar amount a client must have spent at your clinic over the past year in order to be included as a top-spending client. For example, if you would like to see all clients who spent more than $1500 at your clinic over the last year, then $1500 is your spending threshold.


Generating the List of Top-Spending Clients

  • To generate a list of the year’s top-spending clients:
  • On DVMAX Client, click on the Section menu and choose Clients and Patients. The Find window appears.
  • Search for Clients by General.
  • Click the Search button. The Query Editor window appears.
  • From the first pull-down, scroll down until you see Dynamic_Client.
  • Click the plus sign or arrow beside Dynamic_Client once. This will expand the list under Dynamic_Client.
  • Locate Spent YTD in the list under Dynamic_Client. Click Spent YTD once.
  • From the second pull-down, chose is greater than or equal to.
  • Type your dollar threshold in the Value box. Do not type the dollar sign ($).
  • Click the Query button in the lower right hand corner of the Query Editor screen.
  • The time required to perform this search is dependent on the speed of your computer and the number of clients and invoices in DVMAX.


Printing the List of Top-Spending Clients


To print your list of top clients:

  • While viewing the client list, go to the File menu and choose Print...; The Printing Clients window appears
  • Choose Custom from the Report List and click Print. The Quick Report window will appear.
  • In the Report Window, to the right of "Title, Format, Grand Total", right click in the empty space and select add a column
  • Right click on the column header that was added ([Clients]Last_Name) and choose Edit the formula...
  • In the Formula Editor window that opens, clear out the field at the bottom where it says [Clients]Last_Name.
  • In the Formula Editor window from the first column (below Master Table) scroll down and locate Full_Name and double click on it, then click OK.
  • Right click on the column header that was added and choose New Column and select whether you want it before or after this column.
  • Right click on the column header that was added and choose Edit the formula...
  • In the Formula Editor window that opens, clear out the field at the bottom.
  • Then from the column called Command By Themes, scroll till you find the field dyncli_getSpentYTD and double click it, then click OK.
  • That column will show up labeled C1, click underneath the column header C1 and add your own custom title called Spent YTD
  • To sort the list from greatest to least, hover over column header of C1 to where an arrow shows up and click the arrow, then select sort order of Descending.
  • To print this report, click Destination icon and select Print, next click Execute icon and it will pull up print dialog window to select desired printer.
  • To export this report (for importing into Excel or Numbers), click Destination icon and select File, next click Execute icon and it will open up a save as window for you to save it to your computer as a txt file which you can import into Excel or Numbers.
  • This will generate the list of clients who have spent more than the amount specified in your previous search and will be sorted by the greatest to least.

NOTE: To export this list, before going to File to Generate, go to File, destination, and choose Disk File. Then go back to File and generate. It will prompt you to save it.
