How to Add To or Edit Staff List

Applies to: DVMAX v7.0.12 and higher

Purpose: When new staff are hired, or existing staff leave the practice, it may become necessary to edit the staff list in DVMAX. This document will walk you through making the necessary changes.

(info) You must be logged into DVMAX with a user account which has access to the Patient Codes section.


Add New Staff

  • From the Section pull-down choose Patient Codes
  • Search for Staff
  • Click Add New...
  • Enter Staff Code - The initials of the staff are typically used as the staff code. We recommend using 3 initials to reduce the chance of duplicate codes.
  • Enter Staff Name - This is the the name that will be used on printed invoices and estimates, printed patient history, printed certificates, Rx labels, and word processing documents. 
  • Enter Staff List Name - This is the name displayed in DVMAX when choosing a primary provider.
  • Choose Default Department* if using this feature. Our Departments document contains additional details on how to use the Departments feature.
  • If using Antech Reference Lab, enter Antech Barcode Name. This will determine how the staff name is listed on the lab work associated with this provider when it's received from Antech.
  • If applicable, enter License #
  • Sort Order is the order in which the staff names will appear in any lists within DVMAX. The lower the number entered in this field, the higher on the list the name will appear.
  • Check off appropriate boxes for:
    • Doctor - any staff marked as a doctor will be able to have his/her name listed on Rx labels
    • Provider - any staff marked as a provider can be associated with Medical Record Entries and invoice line items for tracking purposes
    • Inactive - check this box to remove the staff record from any provider lists
    • Use Messenger* - check this box to make the staff record available to send and receive Internal Messages. (See our Internal Messenger section of our Knowledgebase for additional details on this feature. 
  • Staff Client Records - This is a display only area. This will show any Client records associated with this staff record who are eligible to receive an IDEXX staff discount. (For more information on the IDEXX Staff discount program, please reach out to your IDEXX Lab Rep). Setup of this information is done via the Client record:
  • Color* - If using Internal Messenger with this staff record, the color selected will be the color of the messages from this staff record.
  • Click OK to save the record.

Remove Staff

  • From the Section pull-down choose Patient Codes
  • Search for Staff
  • Open the Staff Record
  • Check the Inactive box
  • Click OK to save the update

* The Department and Messenger options are available on DVMAX v8.7 and higher.
