rVetLink - Information Received into DVMAX

Applies to: DVMAX v8.7 and higher *Must have an active rVetLink subscription 

Purpose: An rVetLink integration allows specialty hospitals to manage incoming client and patient referral information. This document reviews how to manage the client and patient information received into DVMAX from the rVetLink portal from the referring practice.

All incoming information from the referring hospital is obtained by clicking on the rVetLink icon in the command palette. If you have an active rVetLink subscription, you will see a list of new referrals. If you do not have an rVetLink subscription, you will see an alert with overview information about the feature. 

  • Clients listed in this window will be one of four colors
    • Orange – The default color of all new, unassigned referral records.
    • White and Gray – Referral records will be listed in white or gray after the record has been assigned to a client/patient record. The records will alternate white and gray for an easier to read display of the information.
    • Blue – A blue record indicates a referral that has been reviewed and refused. DVMAX allows you to assign a refused record at a later time if you erroneously refused a referral or you change your mind. (No notification is sent back to the referring practice when a referral is refused).
  • By default, this screen is refreshed every 30 minutes while the window is open. DVMAX does not reach out to the rVetLink portal while the window is closed. It will refresh again next time the window is opened from the Command Palette. You may manually refresh by clicking the Refresh Referrals button at the bottom of the window.
  • Highlight a client listed in the upper portion of the window
  • The bottom half of the rVetLink window shows information about the highlighted client and patient. This is information added to the rVetLink portal by the referring practice. DVMAX simply displays the information has been entered.
  • Click Assign to do something with this record. A new window will open.
    • If DVMAX has found any potential matching clients and/or patients the options will be displayed.
    • If one of the matches is the correct client/patient, highlight the match and click Assign
    • If no matches are found click Create to create a new client and patient record
    • If one of the matches is the correct client, but not the correct patient, click New Patient
    • If the clinic has decided not to see this client/patient, click Refuse. *No notification is sent back to the referring practice that the client/patient was refused.
  • Click Close to go back to the previous screen.
  • To open the record for the client you just created or assigned, highlight the line and click Go To Patient. The patient record will open.

     NOTE: All text submitted to DVMAX from the rVetLink portal is free form text added by the referral practice and therefore may not always be recognized by DVMAX. All client and patient data should be reviewed for accuracy.

    • You will always need to enter patient DOB to ensure accuracy.
    • Species, breed, and spay/neuter status may not be recognized and therefore not added when creating the patient record.
    • The state field in the client's address will always pull in with the full name of the state due to the way information is sent from the rVetLink portal.
    • You will need to manually enter the patient referral information. It is not possible to match the information for the referring practices between the rVetLink portal and the DVMAX referral sources with enough accuracy to rely on this information.

  • If a client/patient has been refused, and the clinic would now like to see that patient, highlight the line in the rVetLink window. Click Refused. This will open the same window you would see if you clicked Assign. From here, you can Assign to a client/patient, create a new client/patient record, or create a new patient.

Each time a patient in the rVetLink window is "accepted" (assigned to an existing patient record or a new record created), there are new MREs automatically added to the patient history.

  • RVL0010 - Referral doctor information
  • RVL0020 - Initial referral notes
    • This MRE will have an attachment, which is can be viewed from the Attachments tab of the MRE, or the Attachments tab in the patient record. The attachment will include all the information submitted by the referring practice as well as links to any uploaded files that were submitted via the portal.

RVL0030 is a third MRE that is added to the patient record any time additional updates are sent from the referring practice.
